How long is the lead time after placing the order?

VINYL LEAD TIMES

Production times for vinyl record pressing are currently about 10 weeks.

IMPORTANT: 

  • Production times are given as an estimate and are subject to possible changes during manufacturing. However, we commit to informing you of any changes to the shipping dates. 
  • Delivery times vary from 2 to 5 business days depending on the destination. A tracking number will be sent to you by email upon shipment confirmation.

What is Copyright ? How to make your declaration?

The COPYRIGHT DECLARATION is a document that you have to complete with your order.

This is an official document that allows you to explain who is the owner of the copyrights for recording and/or materials that you want to reproduce with 100vinyl.com through GZ Media a.s.

In short we need to know if the recording and/or materials that you are using are covered and protected by any organisation of BIEM (e.g. SACEM, GEMA, NSB, OSA).

For multiple vinyl and CD/DVD releases please use a new form for each product type (i.e. 1 form for vinyl, 1 form for CD/DVD or software).

There are 3 parts of the document, below are explanations which should help you to fill in the document correctly and to choose under which category your order falls.

 

1 - You need to complete the top section of the document. Here are explanations about each field that you have to complete.

TITLE

This is the title of the album or recording in question. If there is no title then please write the name of the artist/s or band etc.

CATALOGUE NUMBER

This is a number that you must assign for your own internal catalogue purposes. For example use company initials plus a number (i.e. any alphanumeric choice of letters and/or numbers).

COMPANY NAME & REGISTRED ADDRESS

YOUR company name and address. This is the name of the company, artist or band that owns the content of the product that you are aiming to produce. If you as a company are the owner then write your company name, if you as an individual are the owner then please write your personal name.

COMPANY REGISTRATION No. & VAT No.

These are the registration and VAT numbers of your company. If you don’t have a company then we need the number from your passport or national ID card.

 

2 - Here you need to complete who is the owner of the Intellectual Property Rights and the mechanical rights for the music and/or materials that you want to reproduce with 100vinyl.com through GZ Media a.s.

a) Choose Yes/No from the drop-down list 

b) Choose the option how your product will be distributed.

c) If your product is NOT music material, this part has to be filled in.

d) If your product is music, this part has to be filled in as follow (Choose just one option out of the items 2, 3 or 4).

1. If your product contains parts of different songs (=compilation), choose the option „Yes“. A list with all tracks is required.

2. If your company or if the songs/tracks are protected under a general agreement with a BIEM organisation (i.e. you have or the tracks are covered by a longstanding agreement for all work that you undertake) then please select HAS from the drop-down list and write the name of the covering organisation in the box next to this. In some case we may need to see proof of this agreement. Otherwise, choose DOES NOT HAVE.

3. If your company or if the songs/tracks are protected under a work-by-work agreement with a BIEM organisation (i.e. you apply for an agreement for this each specific work that you undertake) then please select HAS from the drop-down list and write the name of the covering organisation in the box next to this. In some case we may need to see proof of this agreement. Otherwise, choose DOES NOT HAVE.

4. If your company or if the songs/tracks are NOT protected under a general agreement or under a workby-work agreement with a BIEM organisation, and that you are not represented in any way by a BIEM organisation, then please select YES from the drop-down list.

What are the available delivery methods?

DELIVERY METHODS

The delivery methods and carriers used for the shipment of your orders are multiple, due to the variety of products offered in our store and their specificities (weight, volume, etc...). 

The majority of deliveries are made by private carrier (UPS, DHL, SCHENKER,...) within 24 to 96 hours depending on the destination. Some deliveries in the Paris region are made by courier. 

Deliveries are made at the bottom of your building or at the entrance of your home. We therefore recommend that you make arrangements to be able to receive your package and transport it by your own means.

NOTE WELL: Orders cannot under any circumstances be picked up directly at our offices, as the production sites are not located in Paris in most cases. Any order therefore results in delivery by private carrier. 

DELIVERY HOURS

Deliveries are made from Monday to Friday between 08:00 and 20:00. It is impossible to:

  • Arrange in advance for a specific delivery time 
  • Guarantee a call from the delivery person in case of absence or delivery difficulties
  • Pick up packages at the distribution center or at our offices
  • Deliver on Saturday and Sunday 

DISPUTE CASES 

RECIPIENT ABSENCE

Delivery is rescheduled by the carrier on the next working day following the first delivery attempt. After the third unsuccessful delivery attempt, the goods are returned to the sender and a new delivery will have to be charged to the customer.

DAMAGED GOODS

It is essential to inspect the contents of the package in the presence of the delivery person. If the goods are damaged, THE PACKAGE MUST BE REFUSED AND THE DAMAGE SPECIFIED BY YOU ON THE DELIVERY NOTE. Otherwise, it will be impossible to prove the carrier's responsibility and the goods cannot be replaced. 

 

ADVICE: We invite you to require that the delivery person stay on site while inspecting the package. Do not give in to haste or urgency induced by the behavior of some delivery persons. 

What time does the delivery person come?

Deliveries are made from Monday to Friday from 8:00 AM to 8:00 PM. It is impossible to:

  • Agree in advance on a specific delivery time 
  • Ensure the delivery person's call in case of absence or delivery difficulties
  • Pick up packages at the distribution center or at our offices
  • Deliver on Saturday and Sunday 

 Deliveries are made at the bottom of your building or at the entrance of your home. We therefore recommend that you make arrangements to receive your package and transport it by your own means.

TIP: Please provide us with an address where the delivery person can find you between 8:00 AM and 8:00 PM. Whenever possible, try to provide an easily accessible address as some orders may involve bulky packages. Deliveries are not made to upper floors and the goods are left at the doorstep.

What are your graphic specifications?

You have the option to download the templates as well as the technical sheets detailing our graphic specifications from the desired article page, but you can also find them on our dedicated template page.

Here are nevertheless some essential rules for preparing graphic files:

  • Files must be submitted in PDF format, in CMYK mode
  • All provided documents must have a minimum resolution of 300DPI in pixels per inch
  • Maximum ink coverage CMYK = 300% (For a deep black use: C30% - K100%)
  • Always add at least 3mm bleed around the documents
  • Keep the visual visible within the inner circle of the washer
  • Cut marks, registration marks, color swatches, or any other elements not intended to be printed must not appear
  • Provide files without including an ICC profile
  • Make sure to vectorize fonts
  • Make sure to name your files according to the reference of the template used

How can I send you my master audio?

FORMATS

We accept your audio masters in several formats, physical (Audio CD, CD Extra, CD-R) or dematerialized (DDPI disk images, NRG). Remember to consult our audio specifications before sending us your master by any means. We will be obliged to refuse any master that does not comply with these.

POSTAL MAIL

For masters on CD media, please send them by mail to the following address clearly indicating your order number:

FILE TRANSFER

For audio files (vinyl only) and disk images (DDPI, NRG) you must upload your files to the FTP server whose access details will be sent to you by email once the order is confirmed: 

WARNING : Audio files can be relatively large and may require significant transfer time. If your internet connection is unstable or the upload speed is insufficient, we recommend sending your master by postal mail. 

What is the status of my order?

From your personal space, you can check the progress status of your orders. There are 6 statuses to inform you, here is their meaning:

Waiting for files

According to your order, several items may be requested from you: graphics, audio, SDRM authorization, tracklisting, and other technical details. The status "Waiting for files" indicates that one or more items are missing. If necessary, our customer service will contact you as soon as possible.

File verification in progress

When one or more elements requiring verification by our technical teams are submitted by you, this status is automatically activated. This is the case when you send us new graphic elements, for example. This status generally leads to the following statuses: 

  • Waiting for files: The submitted and verified files are not compliant; it is necessary to correct the errors described by the relevant technical department. 
  • Waiting for proof approval: The files submitted conform to our specifications and have been sent back to you as proofs requiring your final approval before printing. 

Waiting for proof approval

The graphic department checks all files submitted to us intended for printing. When the provided files have been checked by us, this status is activated. The final files intended for printing (Proofs) are at this stage submitted for your validation in the dedicated extranet, to which you will receive access by email; they must be checked and approved by you to allow their production. If the provided files are not compliant and need to be corrected, our graphic department will inform you of the non-conformities and the corrected files must be uploaded again to the dedicated FTP.

WARNING: The approval of proofs is irreversible. It is no longer possible to make changes to your files once approved. Take the time to carefully inspect these files. 

In production

When this status is displayed for your order, it means that all elements necessary for its production have been provided, the final graphic files have been approved, and your order has entered the production schedule irreversibly.

Production times are counted from the day production starts. So, once you receive the production start notification, you can begin counting down the announced deadlines. 

 

WARNING : It will be impossible to cancel an order once it is in production. 

Order shipped

On the day your order is shipped, the status changes to "Order shipped". As long as the packages have not been delivered, the status remains at this stage. The shipment of your order is notified to you by email and includes the tracking number as well as the carrier to which it was handed over.

Order delivered, or cancelled

 This status allows reporting the final state of the delivery or the cancellation of the order. In all cases, it is the last stage.  

 

Can I cancel my order?

  • You can cancel your order if and only if the status of your order is other than "In production" or "Order shipped".
  • Order cancellation is free of charge if no file verification procedure has been initiated for your order.
  • Otherwise, a handling fee of €60 will be charged.

What are your GTC?

Condiciones Generales de Venta

1. Ámbito de aplicación

Todas nuestras entregas se realizan conforme a las presentes Condiciones Generales de Venta. Todos los pedidos, entregas y demás prestaciones de Wolfpack Iberia S.L. se rigen exclusivamente por estas condiciones.
Queda expresamente excluida la aplicación de condiciones generales del cliente, incluidas sus condiciones de compra, aun cuando Wolfpack Iberia S.L. no las rechace de forma expresa.

2. Validez de los pedidos

Para que un pedido sea válido, deberá ser confirmado por escrito, con fecha y firma del cliente.

3. Obligaciones del cliente

El cliente se compromete a proporcionar a Wolfpack Iberia S.L. toda la documentación necesaria para la correcta ejecución del pedido, entre la que se incluye, a título enunciativo:

  • Certificados emitidos por entidades de gestión colectiva de derechos fonográficos (por ejemplo, la SGAE en España o la entidad competente en España y en otros países).
  • Documentos que acrediten la titularidad de los derechos de explotación de vídeo.

4. Plazos de entrega

Los plazos de entrega indicados son meramente orientativos. Los posibles retrasos no facultarán al comprador para cancelar el pedido, rechazar la mercancía ni reclamar indemnización por daños y perjuicios.
En supuestos de fuerza mayor, Wolfpack Iberia S.L. quedará liberada de sus obligaciones. A título enunciativo y no limitativo, se consideran causas de fuerza mayor: guerras, conflictos armados, catástrofes naturales, huelgas parciales o totales, desabastecimientos u otros acontecimientos similares.
En tales casos, los plazos de entrega se entenderán prorrogados por el tiempo que dure la situación de fuerza mayor.

5. Envío

Los envíos se realizan siempre por cuenta y riesgo del comprador. Los materiales únicamente serán asegurados a petición expresa del cliente y a su cargo.
Salvo indicación en contrario, el envío se efectuará por el medio de transporte que Wolfpack Iberia S.L. considere adecuado y con embalaje estándar.
A la recepción de la mercancía, corresponde al cliente comprobar, en presencia del transportista, la conformidad de la entrega y, en su caso, formular las reservas oportunas. Para que sean válidas, dichas reservas deberán constar expresamente en la carta de porte.

6. Transmisión de riesgos

El riesgo sobre la mercancía se transmitirá al cliente en el momento de su entrega a la empresa de transporte, cuando el envío sea gestionado por Wolfpack Iberia S.L., o en el momento de la recogida en las instalaciones de la fábrica de vinilos cuando el transporte corra a cargo del propio cliente.

7. Precios y facturación

Los suministros se facturarán conforme a las tarifas vigentes en la fecha de entrega. Los presupuestos tendrán carácter meramente estimativo.
En particular, respecto a los trabajos de lanzamiento (fotograbado, impresión, galvanoplastia), podrán aplicarse cargos adicionales en función de los documentos definitivos aportados.
En caso de accidente galvánico durante el revelado, Wolfpack Iberia S.L. únicamente asumirá los costes de un nuevo grabado. No se asumirán los gastos adicionales de estudio que pudieran ser necesarios para la reparación del grabado, ni los relativos a grabados digitales.
Transcurridos tres años desde la última reposición, el material galvánico será destruido.

8. Pago

  • Todas las facturas serán pagaderas en el domicilio social de Wolfpack Iberia S.L..
  • Salvo pacto expreso en contrario, las facturas serán exigibles al contado, neto y sin descuento.
  • En caso de aplicarse un descuento por pronto pago (previo acuerdo con Wolfpack Iberia S.L.), dicho descuento se deducirá de la base imponible, minorándose igualmente la cuota de IVA correspondiente.
  • En caso de retraso en el pago, se devengarán de forma automática intereses de demora equivalentes al triple del interés legal del dinero vigente en España, conforme a lo previsto en la Ley 3/2004, de medidas de lucha contra la morosidad en operaciones comerciales. Asimismo, será exigible una indemnización mínima de 40 euros en concepto de costes de gestión de cobro, sin perjuicio de poder reclamar costes adicionales acreditados.
  • El impago de una sola factura en la fecha de vencimiento dará lugar, salvo acuerdo expreso de Wolfpack Iberia S.L.:
  • A la exigibilidad inmediata de todas las cantidades pendientes, con independencia del medio de pago acordado.
  • A la suspensión o anulación de los pedidos en curso, sin perjuicio de otras reclamaciones.
  • A la aplicación de una penalización equivalente al 15% del importe adeudado, en concepto de cláusula penal, además de los intereses legales y los gastos judiciales que pudieran derivarse.

9. Conservación de los elementos

  • Los soportes físicos entregados por el cliente para la fabricación (CD-R, discos duros, memorias USB, etc.) podrán ser devueltos previa solicitud escrita y siempre a cargo del cliente. En ausencia de solicitud expresa, y transcurridos dos años desde la última fabricación del producto, dichos soportes serán destruidos sin previo aviso. Por este motivo, el cliente deberá entregar siempre copias y no los originales.
  • Los archivos enviados por transferencia digital (FTP, correo electrónico, etc.) serán eliminados de nuestros servidores tras la fabricación, sin necesidad de comunicación adicional por parte de Wolfpack Iberia S.L..
  • El cliente será responsable de aportar las pruebas que justifiquen cualquier anomalía detectada en los productos. Ningún retorno de mercancía será aceptado sin autorización previa de Wolfpack Iberia S.L..
  • La garantía de Wolfpack Iberia S.L. se limita exclusivamente a la sustitución de los productos defectuosos. Si la reparación no fuese posible, se procederá al reembolso sobre la base del precio ex works (salida de fábrica). No se reembolsarán gastos de transporte ni derechos de aduana.
  • La existencia de una parte defectuosa en una entrega no justificará el rechazo total de la misma. La utilización comercial de los productos implica la renuncia expresa del comprador a formular cualquier reclamación posterior.

10. Garantías

Las mercancías de cualquier naturaleza pertenecientes al cliente y almacenadas en las instalaciones de Wolfpack Iberia S.L., ya sea para su transformación o por cualquier otra razón, no estarán aseguradas por la empresa ni generarán responsabilidad alguna en caso de pérdida, daño o accidente.
El cliente, que es el único conocedor del valor real de sus bienes, deberá contratar el seguro correspondiente y obtener, en su caso, la renuncia a acciones de sus aseguradoras contra Wolfpack Iberia S.L., sus empleados, almacenistas o subcontratistas.

11. Reserva de propiedad

Wolfpack Iberia S.L. conserva la plena propiedad de las mercancías entregadas hasta el pago íntegro del precio facturado.
El traspaso de la propiedad solo se producirá en el momento en que se haya satisfecho la totalidad de la deuda.
En caso de impago, Wolfpack Iberia S.L. podrá recuperar los productos en poder del cliente o depositados en su almacén.

12. Propiedad intelectual

El cliente garantiza ser titular de todos los derechos de explotación sobre las obras, en todas sus partes, contenidas en los másters entregados a Wolfpack Iberia S.L. para su reproducción en cualquier soporte.
Asimismo, declara haber abonado las correspondientes remuneraciones a los titulares de derechos, tanto en España como en el extranjero.
En el caso de obras musicales, el cliente deberá aportar la autorización de la SGAE/AGEDI/AIE o entidad competente en España, o de la entidad de gestión del país extranjero correspondiente.
Ningún trabajo será iniciado sin la previa recepción de la autorización, salvo en el caso de clientes que dispongan de un contrato marco con la entidad de gestión correspondiente.

13. Jurisdicción y fuero aplicable

Las presentes Condiciones Generales de Venta se regirán por la legislación española.
Para la resolución de cualquier controversia, las partes se someten expresamente a la jurisdicción de los Juzgados y Tribunales de Barcelona con renuncia a cualquier otro fuero que pudiera corresponderles.
